Has significantly improved document-driven workflows and reduced processing time across finance and HR functions
Automation Anywhere has evolved significantly and upgraded itself to provide agentic AI and AI-based automation solutions for document automation. The product has matured considerably over time. We can create workflows that can call an API. We can include prompts in particular workflows for ChatGPT-related functions, connecting to an LLM and RAG to perform tasks. For document automation, modern features are available to train documents, ensuring high accuracy and repeatability over time. The system is very easy to use. I recently completed a course in document automation, typically designed for people involved in coding and technical aspects. Though I understand coding comprehensively, I don't do actual coding. The course was very accessible. Currently, extensive coding isn't necessary due to the hybrid model incorporating GenAI aspects, low-code, no-code capabilities, APIs, and numerous pre-built objects in Automation Anywhere. The features include GenAI-driven prompting methods and workflow creation capabilities. In these workflows, we can create decision boxes and call APIs without coding. We simply pull objects, drop them, connect them, and add minimal coding when needed. The most crucial aspect isn't coding but rather sizing the automation and fleshing out the details. Automation Co-pilot takes notes and performs automated analysis. It can extract details from videos, summarize conversations, and provide detailed information. During calls, it identifies instructions and performs tasks such as preparing reports and reconciliation. Automation Anywhere can also connect with Microsoft Co-pilot. Through Co-pilot, real-time operations can be executed, allowing direct interaction between vendors and automation through this component.

Manager Of Global Procurement at a tech vendor with 10,001+ employees
Centralized contract repository has improved visibility and supports detailed spend analysis
Agiloft Contract Lifecycle Management (CLM) could be improved in the area of catering more from a CLM perspective. Unlike vendors in this area like Ariba, Coupa, Icertis, and Ivalua, which also provide the sourcing side—RFX, RFP, RFI, auction—through the tool, that area within Agiloft Contract Lifecycle Management (CLM) is lacking. I would be happy to see those modules well-placed and well-balanced based on how other competitors are catering to that requirement. I would also like to see various enhancements within the dashboard and customization based on client and customer requirements. That is something that I would like to see more within the dashboard and the tool. If I had to pick one area where Agiloft Contract Lifecycle Management (CLM) could be improved, it would be better slice-and-dice options within the dashboard. That is something that is very important and critical for me. I chose 8 out of 10 because there are certain areas where Agiloft Contract Lifecycle Management (CLM) would need to look at what their competitors are doing. CLM is a very hot area for procurement because it is used by direct and indirect procurement folks. Based on those requirements, use cases, and especially based on what clients need and how their competitors are performing, I think there is room for improvement on the enhancement side, improving the overall customer experience on the dashboard, having more layouts, and having the option to slice and dice the spend and the orders. It would also be good to have different charts and infographics based on the contracts that have been uploaded, which provides a picture to the procurement person. For example, when they are doing a renewal or want to work with the same vendor, it provides some sort of ammunition to make an informed decision and ensure that the data coming out of the tool represents factual insights. This will help drive savings, better outcomes with the supplier, and better stakeholder engagement. It is all linked to how the tool can be more efficient and effective.

Senior Product Manager at a university with 10,001+ employees
Doesn't require a background in analytics to run reports
SMART has been helpful for sourcing and public bids. For regulatory purposes, our university posts bids, depending on the scope of the bid. We get a lot of value out of SMART's ability to post to a public site and have suppliers see that information, register in the tool, and participate. SMART features for collecting information and its timeline capabilities are highly useful. Then on the contract side, the reporting capabilities are the most valuable. Our use case focuses primarily on post-execution and lifecycle management, so it's essential to be able to report accurately especially compliance-related reports. SMART is easy to use, especially when reporting. It isn't designed for a hardcore analyst. You don't need to have a background in analytics to run reports, which is huge. I realized I hadn't touched too much on the spending side, but we use SMART for all spending analytics, and any commodity manager procurement professional can go in and run a spending report. That was a business decision to restrict who can run reports since that data can be exported and used. But the reporting capabilities are incredibly easy to use.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"The most valuable feature is recording in the Control Room, as it allows me to chose what I want to have recorded, ensuring that I get the right thing on time."
"By automating those processes we achieved high ROI, great customer satisfaction, better STP, reduced manual work, reduced processing time, high accuracy, and 24/7 working capacity with the AA bots."
"MetaBots are useful when connecting to websites or to forms with objects that need to be captured."
"V.11 has three different recorders but A2019 Automation Anywhere created an all-in-one recorder called Universal recorder which more reliable to use."
"We are able to sell it very easily compared to its competitors. Another piece is the stability part. The third piece is something which is the customer experience: The ease to work with it. The Automation Anywhere, as a partner, is very easy to work with. They are there when you need them, whether you are in the initial journey of automation, you are figuring out what is the right opportunity, or whether you are in the journey of deploying the bot or support. They are there with you at each of those stages."
"What Automation Anywhere has done is free up more time for our staff, and they're able to handle exceptions in our processes instead of having to do the mundane, repetitive tasks they were doing previously."
"Automation Anywhere has a drag-and-drop feature eliminating the need for extensive coding."
"Unattended use is its most valuable feature."
"When we launched Agiloft Contract Lifecycle Managment (CLM), it was a much-needed contract management system in my past role, solving a big problem for us in terms of contract intake, negotiation, management, as well as providing a centralized repository that we used as our source of truth for audit purposes, which had a huge impact on us in being compliant."
"With Agiloft, everything is organized in one place, with data in tables and our own archival elsewhere in our cloud."
"Agiloft Contract Lifecycle Managment (CLM) has positively impacted my client organizations by massively reducing contract authoring, with some contracts that used to take three months to execute now being reduced from months down to hours, which has improved client satisfaction, increased deal velocity, and allowed their legal teams to focus on other tasks outside of contracting, thereby freeing up time for the legal departments."
"For me, Agiloft Contract Lifecycle Managment (CLM) is not just an archive; it is a control and follow-up tool that improves collaboration, provides reliable information, and supports contract administration and decision making."
"I had a great experience working with Agiloft Contract Lifecycle Managment (CLM), and I definitely recommend it to any company or customers exploring options for vendor contract management systems because I had a great learning experience and very good experience working on Agiloft Contract Lifecycle Managment (CLM)."
"Agiloft Contract Lifecycle Management (CLM) has helped us realize what we were lacking and helped us choose a replacement vendor that was better suited to our needs."
"It is obvious to me that Agiloft can handle much more than contract management, as the specific requirements that were not part of Agiloft's initial configuration were implemented seamlessly."
"Overall, I think Agiloft Contract Lifecycle Managment (CLM) is a strong contract management platform, particularly for organizations with great volume, many customers, and numerous suppliers."
"The one we use the most is the sourcing module... It's really easy to use. You don't have to train vendors. You can add a new vendor at any time, and that vendor will get an email saying, "You've been selected to participate in our RFP, and you do X to get your ID set up." That works really well."
"SMART's source-to-pay feature has helped us undergo a digital transformation."
"One of the most valuable features is the opportunity-identification through the spend analytics. Another is around the RFX options to benchmark various pre-qualified vendors that are invited to participate."
"We operate with three different systems that input data. The fact that GEP consolidates all that information into one place is a big deal for us. It streamlines that data for us."
"Their tool has become a much better tool over the years."
"The AI tool definitely has learned from the information we've given it but also from some of the corrections that we've made. It may have auto-applied a classification and then we have gone in and corrected it, given it some feedback. With that, more and more, we are not having to touch the information once it gets processed. It's classifying it from the get-go in the correct category."
"From a contract perspective, in my opinion, SMART has improved things a hundred-fold."
"The fact that GEP is a single, unified software platform for our whole organization certainly unifies the information in one place."

Cons

"We had a major issue when it came to single sign-on. We couldn't get it working. There was a bug in Automation Anywhere that eventually got solved just a few weeks back. However, we have not implemented it. We have had hiccups with the single sign-on, but otherwise it was a smooth setup. We are not using single sign-on because of this bug."
"It is negative right now. What we are expecting, for one bot creation, is a six-month turnaround for getting ROI, but that is only the developer man-hour versus actual time saved."
"It would be nice to have the IQ Bots integrated with the Enterprise Edition without requiring extra licenses. That would be great."
"When working with Excel, unlike other tools such as UiPath, Automation Anywhere does not have the standard variables for .Net data types."
"For any tool, we have to consider that the evolving AI space is rapidly changing, and I believe Automation Anywhere can enhance its offerings to keep pace with developments in the AI sector, which presents a lot of room for improvements, but overall it is working well for us."
"While we have been developing over time, there have been issues with stability."
"They should make the product smarter. The bot we use right now is kind of fundamentally basic loop-based. We really want to see a little bit more advanced capability, that way we can undertake more comprehensive tasks."
"I would like to see GitHub or GitLab integration in the next version."
"Every software can improve, so better integration with the Oracle financial system and out-of-the-box integrations would certainly add a lot more value, particularly for procurement and sales contracts."
"If there is an area for improvement, it would be in the mobile aspect."
"One area of improvement I would suggest Agiloft to focus on would be how users interact with attachments to records."
"Agiloft Contract Lifecycle Management (CLM) could be improved in the area of catering more from a CLM perspective."
"I feel Agiloft is a little bit less user-friendly than Conga."
"Agiloft Contract Lifecycle Managment (CLM) could be improved in several ways. The training is not good, and they do not offer very good training at all."
"I feel there are always opportunities to improve Agiloft Contract Lifecycle Managment (CLM)."
"Requests were clunky. Once we got it into the system, the process did not work well for redlining and negotiations."
"Tech support could use a little bit more work."
"Very recently, they implemented a customer success team to manage our expectations and communicate them to their technical team. That function is relatively new and some work needs to be done to build that connection so that it's a little more seamless."
"There are no mechanisms for them to check up on how they refresh their data. So oftentimes, when we go into the tool and we don't see something, we alert them and they say, "Oh, the data hasn't been refreshed, so we'll go ahead and refresh it," and then what we're looking for pops up. We should not have to be the ones to tell them they need to refresh. There should be a mechanism in place for that."
"We definitely have some asks for enhancements. One of the big ones we'd like to see is what we call "drag-and-drop." If I have an email that I want to maintain in the SMART record for whatever reason — for example, it has supporting information in it — I would love to be able to just drop that into the notes and attachments section without having to save it as a PDF and then upload it."
"We had 50,000-plus contracts in Ntracts that had to be migrated to SMART. It was a big ask and it went horribly wrong, and we ended up having to do a second migration."
"We didn't like their dashboard initially, but they responded to that very well."
"One of the areas where they could do better is by creating more standard templates when it comes to IT cost. IT cost has various components to it and if I want a vendor to be able to reply about cost related to IT, I would have to create that template. If I want them to tell me the hardware costs, the software costs, the professional services costs, the cloud or subscription costs, etc., I would have to build that template myself. Once I built it, I could save it and use it again and again. But sometimes building a template takes a lot of time."
"I want to see continued investment in analytics and reporting."

Pricing and Cost Advice

"It is the most economically friendly and it provides you with a lot of functions."
"Automation Anywhere is somewhat expensive. The prices are slightly higher, but if you need something, you must pay for it."
"Licensing costs range from $50,000 to $200,000."
"It is one of the most affordable RPA solutions, and as for licensing, they offer a community edition that greatly helps anyone who aspires to learn about the product before buying the enterprise solution."
"From my experience, I can say that the initial setup cost is easily recovered over a period of time once the bots start running in production."
"As far as costs, it depends on your use. We started with a basic department pack, which is over 10K. The additional costs depend on the scale of the engagement and how it pans out. We customize to our needs on the go."
"We have a few licenses. They cost roughly $10,000 each."
"It's an ideal pricing model to customize the components based on everyone's needs."
Information not available
"My advice is to think wisely when it comes to estimating the number of licenses that you will require. If you settle on a number too early and you need additional ones, then the extra licenses might be quite expensive."
"If our organization could use it as a full-fledged solution, then it would be valuable and give a return on investment. However, since we are not currently using it as a full-fledged solution, even facing some bugs and problems with the synchronization with some of the internal software, we are not able to use it in a full-fledged manner."
