My main use case for Pipefy is managing my project portfolio, and I have also used it for other functionalities, mainly in the treasury area for receiving invoices and for tracking requests. I have had a really good experience with Pipefy. Pipefy now controls the entire lifecycle of my project portfolio management, from the opening of the request, where I can receive from the requesters what they need and the impact of each of their projects, to setting a prioritization and assigning a specific PMO for that type of project. It helps me manage the entire lifecycle from the request to requirements gathering, to the development phases, and the testing phases. In each of these stages I can upload evidence, and it asks me the right questions to ensure governance. Pipefy is a great ally in this process. What I like most about using Pipefy in portfolio management or in other processes is that I can truly adapt it to my needs. I have some different tracks of projects, whether for internal projects, external projects, or structuring projects, and Pipefy allows me to make this adaptation and navigate in a very clear, easy, and transparent way across each of these tracks.

My main use case for Pipefy is during the implementation process, specifically for customer onboarding. Pipefy has a function very similar to an agile methodology called Kanban, which is very necessary for the implementation process, so I use it to track all the steps and all the phases of the implementation process for each customer. With Pipefy, I can have a broad view of each customer in each phase, so every day, I can go into Pipefy and understand the phases the customer is in, whether they are late or not, and whether I need to take action that day or not. Pipefy gives me information about the phases the customer is in, allowing me to take action that day if necessary, especially if I identify some delay or lack of some data or information. For some time, I have been working on the implementation of enterprise customers, where I need to work with several areas at the same time, and Pipefy gives me a view of which phase the customer is in, if they are behind schedule, if they are following the checklist, and all those involved as well; so it gives me autonomy, freedom, and security in the implementation process. Pipefy gives me the autonomy to keep the flow going, ensuring I have the customer's history about everything that is happening so that I don't miss any phase of the schedule or any part of the checklist, which provides me more security that the project will run well until go-live.
My main use case for Pipefy is that we used it for everything; all the areas of BIP Saúde used Pipefy: the data area, HR area, supplies area, logistics area, operations area, finance area, so all the areas were connected and interconnected through Pipefy. I won't be able to give you a specific example of how we use Pipefy in finance because I wasn't in the finance department, but I used it, for example, in operations, and whenever a ticket was opened to let us know that a car was late in our operation, we would receive this ticket, check it, respond, and then move it through the appropriate stages, through its boxes on the kanban. This is something very good about Pipefy because it uses kanban, which is an easy way to visualize things and it doesn't get confusing or difficult for anyone. Additionally, we created several automations which we used a lot in other departments to create forms and create processes within Pipefy that improved our day-to-day work.

At KPMG, I used Pipefy mainly for handling support and requests. I handled job and project tickets for partners and managers, taking care of all the administrative work, reputational and financial research for a given client, and then I carried out the entire research process. Afterwards, at the end, I forwarded it to the manager and partner to evaluate. I used Pipefy mainly for handling projects and jobs that I provided within the Pipefy platform for managers and partners. I received the ticket through Pipefy, where I conducted the entire analysis of that request. Each job came with a certain theme. I performed research, as mentioned, reputational research, financial research, so each ticket had its own particularity. Within Pipefy, I received the task with a specific theme, such as Know Your Client analysis, and then I carried out the entire research process, all the form filling within Pipefy, where I received this job. After finishing the whole process, I would close it and then send it to the manager and the partner to review. My part within Pipefy was the service and handling.

I used Pipefy to organize expenses, reimbursement, and travel arrangements. When I enter the system, I can see various processes, such as travel and expenses. I was using Pipefy for travel arrangements in my previous role as an executive secretary, where I was responsible for scheduling arrangements. In the system, I can analyze when something is not approved, and I can review all the steps to determine if it is in progress or if it has been concluded. When I was using Pipefy for expenses, I would send the information and attach the receipts, and it would go to my boss for approval. I cannot access the steps for the expenses process, but for travel, I can check all the steps.

My main use case for Pipefy is for many things; I didn't have access to SQL, so I use Pipefy to create a database and store information there. I use Pipefy to make calls to buy and sell assets, to orchestrate processes, and to document everything related to funds by cataloging every step to ensure indicators are correct. I can use Pipefy as a document storage system similar to Google Drive, to schedule work, and to integrate email and Python with Pipefy, making various signals sendable via its API. Pipefy adapts to your needs based on your creativity. The more creative you are, the more Pipefy can accomplish. One specific process where Pipefy made things easier for me is validating documents. When a manager sends us a document valid for six months, I use Pipefy to extract the date from the document, and using Python, I add six months to that date. If the document passes that date, it is "parecer vencido"; if not, it remains approved for the manager to buy.

My main use case for Pipefy is for quotations and some automatic orders. I start by filling out the inbox part in Pipefy for quotations and automatic orders because there are several phases. In the inbox, I enter the person responsible for the request and the requester's email, which usually appears in another system. Then I have to check it to put it there in Pipefy, then send it to the next phase which would be the request analysis, where I put the details of the material. For example, the categories that material belongs to and how long the request has been open. Then it moves to another phase, the RFQ creation, where I create the quotation by entering more detailed information and selecting the suppliers I want to invite to the quotation, which is then sent automatically to all suppliers.
Pipefy is one of the crucial and very beneficial tools that we use in my organization that has greatly simplified all the processes we undertake. We use Pipefy as a central hub to store information on multiple things including our sales pipe, onboarding process, account additions, and marketing strategy. Everything is connected through integrations with our support and newsletter platforms. Pipefy addresses the way we organize our processes and ensures we stay on top of things at every step. We have been able to stay on track better, follow up with potential customers, ensure we hit every step of the onboarding process, and provide a place where everyone can see where they are in the process.

My main use case for Pipefy involves creating accounts receivable pipes, splitting tasks among the operations team, and managing projects. I duplicate the information from the financial system for accounts receivable, and from this information inside Pipefy, in a Kanban separated by time stages, I start creating tasks for the finance team.

My main use case for Pipefy is to manage processes and to follow processes with Kanban style management and for some automations such as when an activity is completed then someone gets an email asking them to complete a field or to submit another document. However, it is mainly for process reasons. A quick specific example of a process I manage with Pipefy is that we used to first receive the suggestion of projects and then the suggestion of participants to conduct this project. Pipefy uses an automation to approve the participation of these candidates in the project with their managers and also to approve the project with the direction of the company. It is all fully automated within Pipefy.
Pipefy is a powerful workflow management tool that streamlines and automates processes. It effectively manages tasks, projects, and approvals, while offering flexibility and customization options.
With its user-friendly interface, customizable workflows, and automation capabilities, Pipefy saves time and improves collaboration. Integration options with other tools further enhance data management and collaboration.
